Executive Administrative Assistant (Webster, TX) (Great Houston, Clear Lake area)

Job Description:

  • Support corporate executive team
  • Secretarial and administrative functions: Coordinate schedules, appointments, meetings and travel for the management team. Some of these may be of a highly confidential nature
  • Coordinating activities and facilitate communications with Ad Astra’s foreign and domestic subsidiaries and outside collaborators, including NASA, other space agencies, industry and universities
  • Interact with sponsors to schedule CEO’s public appearances both foreign and domestic and prepare detailed travel itineraries
  • Coordinate, manage and support special events for the company, such as technical and management workshops, marketing visits, investor relations and Board Meetings
  • Establish and maintain filing system, in accordance with records management procedures
  • Receive telephone calls; check CEO’s phone messages during his absence from the office and relay them by email
  • Open and sort incoming mail, determine level of priority and distribute, compose responses to incoming mail
  • Handle all aspects of protocol with respect to congressional and VIP visits
  • Arrange conference calls and/or video conferences as required
  • Schedule visitors (facility tours)

Requirements:

  • College degree or equivalent and minimum of 5 years of Executive Administrative experience
  • Fluency in English and Spanish (written and spoken)
  • Experience and proficiency in MS Office Word, Excel and Powerpoint
  • Professionalism, strong organizational skills and ability to manage multiple tasks and administrative processes
  • Excellent time management, interpersonal and communication skills
  • Strong written and verbal communication skills
  • Maintain the highest level of confidentiality
  • Ability to work independently as well as with a team
  • Must show initiative and willingness to learn and grow as part of a team and operate in an intellectually challenging environment
