Executive Administrative Assistant (Webster, TX) (Great Houston, Clear Lake area)
Job Description:
- Support corporate executive team
- Secretarial and administrative functions: Coordinate schedules, appointments, meetings and travel for the management team. Some of these may be of a highly confidential nature
- Coordinating activities and facilitate communications with Ad Astra’s foreign and domestic subsidiaries and outside collaborators, including NASA, other space agencies, industry and universities
- Interact with sponsors to schedule CEO’s public appearances both foreign and domestic and prepare detailed travel itineraries
- Coordinate, manage and support special events for the company, such as technical and management workshops, marketing visits, investor relations and Board Meetings
- Establish and maintain filing system, in accordance with records management procedures
- Receive telephone calls; check CEO’s phone messages during his absence from the office and relay them by email
- Open and sort incoming mail, determine level of priority and distribute, compose responses to incoming mail
- Handle all aspects of protocol with respect to congressional and VIP visits
- Arrange conference calls and/or video conferences as required
- Schedule visitors (facility tours)
Requirements:
- College degree or equivalent and minimum of 5 years of Executive Administrative experience
- Fluency in English and Spanish (written and spoken)
- Experience and proficiency in MS Office Word, Excel and Powerpoint
- Professionalism, strong organizational skills and ability to manage multiple tasks and administrative processes
- Excellent time management, interpersonal and communication skills
- Strong written and verbal communication skills
- Maintain the highest level of confidentiality
- Ability to work independently as well as with a team
- Must show initiative and willingness to learn and grow as part of a team and operate in an intellectually challenging environment
